Nursefully Privacy Policy

Nursefully, Inc., its affiliates, subcontractors, and their respective directors, officers, employees, agents, and personnel (collectively, “Nursefully,” “we,” “us,” or “our”) respect your privacy and are committed to protecting it through this Privacy Policy (“Policy”).

This Policy describes the information we collect from you or that you provide when you visit our website, www.nursefully.com (our “Website”), request support connecting with a licensed clinician affiliated with a third-party provider group such as Headway (the “Provider Group”), participate in our workshops or wellness programs, subscribe to communications, or use any of our other products or services (collectively, our “Services”).

 

Scope​

This Policy applies to personal information collected through our website, online forms, and other interactions with Nursefully (the “Services”). This Policy does not apply to medical records or Protected Health Information (“PHI”) created or maintained by clinicians or the Provider Group in the course of providing clinical care. Those records are governed by the clinician’s and/or Provider Group’s Notice of Privacy Practices, not this Policy.


This Policy applies to the following categories of individuals:
 

  • Clients and users (including prospective clients)

  • Workshop and program participants

  • Service providers and contractors

  • Business partners

  • Anyone who interacts with us or whose information we maintain

 

Types of Information We Collect

We collect both personal and non-personal information. “Personal information” refers to any data that identifies or can be used to identify an individual, household, or device.

This includes:

 

Basic Information. Name, email address, phone number, state of residence, and mailing address.

Account Information. Scheduling preferences, workshop registration details, communication preferences, and intake responses.

Payment Information. Billing details for workshops or paid programs. (Processed through secure third-party payment providers; we do not store full credit card numbers.)
 

Protected Health Information (PHI).  If you seek clinician matching or support, you may voluntarily share information related to your mental health history or needs. Some of this may qualify as PHI under the Health Insurance Portability and Accountability Act (HIPAA).

Device and Usage Information. IP address, browser type, device identifiers, pages visited, session duration, and analytics data.

Communications and Content. Emails, messages, form submissions, program feedback, event interactions.

Other Information. Any information you choose to provide to us voluntarily.

 

We do not intentionally collect sensitive identifiers (e.g., SSNs, driver’s license numbers) unless required for specific business or legal purposes.

 

How We Collect Information

Information You Provide. When you submit forms, request a clinician match, enroll in a workshop, communicate with us, or voluntarily share information.

 

Information Collected Automatically. Through cookies, analytics tools, advertising pixels, and similar technologies that help us understand how our Services are used.

 

Information from Third Parties. Including service providers such as payment processors, analytics platforms, scheduling tools, and the Provider Group when needed for care-coordination purposes you request.

  • Delivering newsletters or marketing content (only if you opt in)

  • Complying with applicable laws, including HIPAA where applicable

  • Responding to regulatory or law enforcement requests

  • Conducting internal research and service development

How We Handle PHI (Protected Health Information)

Nursefully is not a healthcare provider and does not deliver clinical care. However, when assisting you with locating or connecting to a clinician affiliated with the Provider Group, Nursefully may act as a Business Associate under HIPAA. Under this role:
 

  • We use PHI only to help match you to a clinician or support minimal administrative coordination.

  • We do not sell PHI or use PHI for advertising or marketing.

  • PHI is shared only with clinicians or the Provider Group when necessary.
     

Once PHI is transferred to a clinician or the Provider Group, it becomes subject to their Notice of Privacy Practices, not this Policy.
 

Requesting access or changes to your clinical records should be directed to your clinician or the Provider Group. If you contact Nursefully with a request relating to your clinical records, we may assist by routing your inquiry to the appropriate clinician or Provider Group.

 

Information Sharing

We do not sell your personal information.
We may share personal information with:
 

  • Clinicians and Provider Group to help connect you to care

  • Service providers (hosting, email, analytics, payment processors)

  • Business partners for co-hosted workshops or events

  • Authorities when required by law

  • Another entity during a merger, acquisition, or similar event

  • With your permission, if applicable


We do not share PHI for marketing.

 

Payments

If you purchase a workshop or program, payment information is processed by secure third-party payment providers. Nursefully does not store full credit or debit card numbers.

 

Data Security
We maintain administrative, physical, and technical safeguards designed to protect your information. While we strive to protect your data, no system is completely secure. We encourage you to use caution when sharing information online.

 

Your Rights

Depending on your location, you may have rights to:

  • Access or correct your personal information

  • Request deletion of certain information

  • Opt out of marketing emails

  • Limit or object to certain uses
     

You may unsubscribe from marketing emails at any time.
Do Not Track: Our website does not respond to DNT signals.
